Scope of this policy

This Privacy Policy explains how the Ministry of Communications and Information Technology's Innovation Ideas Management Platform handles data when you use the service. The platform supports idea submission, challenges, collaboration, evaluation, validation activities, prototypes, and AI-assisted work products. This policy should be read together with the Terms of Use and any applicable Ministry policies.

Data we collect

We may process the information needed to operate the platform, including:

• Account and profile information, such as your name, email address, job title, department, role, and permissions
• Sign-in and session information, including identity-provider details when Microsoft organizational sign-in is used
• Ideas, drafts, challenge entries, comments, messages, votes, favorites, evaluations, and attachments you submit
• Survey and interview responses, evidence, validation results, and other material connected with developing an idea
• Prompts, instructions, source content, and outputs created when you use AI-assisted or prototype-building features
• Operational and usage information, such as page views, notifications, activity and audit records, and technical errors

Do not submit passwords, access keys, highly sensitive personal information, or material that you are not authorized to share.

How we use information

We use information to operate the platform and manage accounts and permissions; receive, develop, review, and evaluate ideas; support collaboration and notifications; generate evidence, project artifacts, and prototypes; improve service quality and security; investigate faults or misuse; and meet applicable legal, regulatory, and Ministry requirements.

Visibility of your content

Your name, job title, and profile details may appear with ideas, comments, or other activity you publish, depending on publication settings, your role, and the permissions of other users. Ideas, evidence, and attachments may be shared with authorized reviewers, judges, platform administrators, Ministry teams, or parties appointed by the Ministry for evaluation, development, and implementation. Do not place confidential material in an area intended for wider participation.

AI-assisted features

Some features use AI models to help structure ideas, prepare validation plans, generate specifications and content, and build prototypes. Instructions and task-related content may be sent to approved AI service providers to produce the requested output. Review AI-generated material before relying on it because it may be inaccurate or incomplete. Do not enter confidential or restricted information unless its use is authorized under Ministry policy.

Sharing and service providers

We do not sell personal information. Information may be available to authorized employees, reviewers, and administrators, and to service providers supporting hosting, databases, email, storage, authentication, AI processing, and publishing, only as needed to provide the service. Information may also be disclosed where required by applicable law, a valid official request, or the need to protect the platform, its users, or the Ministry's rights.

Cookies and sessions

The platform uses essential cookies and session technologies to sign you in, maintain your session, remember language and interface preferences, and protect requests. Disabling these technologies may prevent parts of the platform from working correctly.

Retention and security

Information is retained for as long as needed to operate the innovation process, preserve records, and meet Ministry and legal requirements. Retention periods may vary according to the type of record, the status of an idea, and operational needs. The Ministry and its service providers apply appropriate technical and organizational safeguards, but no electronic storage or transmission method is completely risk-free.

Your choices and requests

You can review and update certain profile information through the platform. To ask about your information or request correction, restriction, or deletion, contact the Business Development team at BD_Innov@mcit.gov.sa. Requests remain subject to authorization, record-retention duties, and applicable laws and policies; some records may not be removable immediately where continued retention is required.
